Brightwheel Parent Information Letter

Dear Parents & Guardians,

As we continue transitioning to Brightwheel for our childcare management system, we would like to share a few important reminders regarding payments, attendance, and account settings. Beginning June 1, 2026, all tuition and childcare payments will be made through the Brightwheel app. After this date, we will no longer accept cash or check payments.

Payment Options Through Brightwheel:

• ACH/Bank Account Payments — FREE processing fee
• Credit/Debit Card Payments — 2.45% processing fee

Please make sure your payment method is added and ready prior to June 1, 2026.

Automatic Payments & Account Responsibility:

Families are responsible for managing their own payments and AutoPay settings within Brightwheel.

• If AutoPay is turned ON, payments will automatically process based on your invoice settings.
• If you do NOT want an automatic payment withdrawn, you must turn OFF AutoPay before the scheduled withdrawal date.
• If you would like full control over what day you make your payment, please keep AutoPay turned OFF and make manual payments through the app.

Late & Returned Payment Reminders:

• Payments not received by Wednesday at midnight will automatically receive a $30 late fee added to the account.
• Any returned ACH payment or returned payment will also receive a $30 returned payment fee.

Attendance Reminders:

All parents/guardians are responsible for signing their child(ren) in and out daily through Brightwheel. Accurate attendance is required each day for safety, licensing, and state compliance purposes.

We appreciate your cooperation and patience as we continue improving communication, billing, and daily operations through Brightwheel. Our goal is to provide a smoother and more convenient experience for all families.
